Key takeaways

  • Online reputation management (ORM) is the practice of monitoring and improving how a brand is perceived online, now including AI-generated answers.

  • AI changes ORM in three ways: it compresses many sources into one verdict, repeats that verdict to every buyer and hides it in private conversations.

  • Track the sources behind the verdict with a Source Influence Ledger: which reviews, articles and threads assistants cite, what they say and what you can do about each.

  • Earn it honestly. The FTC's 2024 rule on fake reviews and testimonials makes shortcuts riskier than ever, and AI is good at surfacing the cleanup when it's discovered.

Reputation management used to be a page-one game. Push the bad article down, get the good reviews up, keep an eye on your star rating. You could see the battlefield.

AI assistants changed the shape of the problem. They don't show a page of results. They read the results and write a verdict. Three years of reviews, a dated comparison article and one popular Reddit thread can become a single sentence: "a capable option, though some users report slow support."

Every buyer who asks a similar question gets some version of that sentence. You'll never see most of them. That's why ORM is now part of AI visibility, not a separate PR function.

What is online reputation management?

Online reputation management (ORM) is the practice of monitoring, influencing and improving how a brand is perceived online, across search results, review sites, social platforms, forums and AI-generated answers. For B2B companies, it focuses on accurate information, strong review profiles, public responses to criticism and earned coverage on the sources AI assistants trust.

How AI changed reputation management

Change

What it means

Why it matters

Compression

Many sources become one sentence

A single loud source can dominate the verdict

Repetition

The same framing reaches every buyer who asks

One bad caveat acts like a permanent ad against you

Invisibility

Answers happen in private conversations

You can't see or respond to what each buyer read

The combination is what makes it different. Bad reviews were always a problem, but buyers could see the ratio of good to bad and judge for themselves. In an AI answer, the model has already judged. The buyer sees the conclusion, not the evidence. The measurement side is covered in AI sentiment analysis, and outright errors in AI hallucinations about your brand.

Which sources shape B2B reputation in AI answers

  • Review platforms. G2, Capterra and TrustRadius profiles get pulled into vendor answers constantly.

  • Reddit and communities. Candid threads carry weight because they read as unbiased.

  • Comparison articles. "Best X for Y" pages often decide shortlists, and many are years out of date.

  • Trade press and analysts. Coverage and analyst notes support authority.

  • Competitor content. Their "X vs. you" pages, which assistants sometimes treat as neutral.

  • Your own site. Clear facts reduce the room for others to define you.

When assistants cite sources, you can trace a framing back to where it came from. That's the core of the ledger below.

The Source Influence Ledger

This is the single most useful ORM tool I know for the AI era. It's a simple spreadsheet that connects what AI says about you to the sources causing it.

Column

What to record

Source

The URL or platform an assistant cited

What it says

The specific claim or framing about your brand

How often it appears

How many responses across your prompt set cite or echo it

Accurate?

Current and true, outdated, or wrong

Can you influence it?

Yours, editable on request, respondable, or outside your control

Action

Update, request correction, respond publicly, create counter-evidence or monitor

Fill it from your prompt audits, sort by how often each source appears, and work from the top. The handful of sources that show up most will usually explain most of the framing. Fix those first.

You'll find your prompt set in AI search prompts, and the audit process in anatomy of an AI response.

The honest ORM playbook

Monitor what AI says

Run your prompt set quarterly across several assistants. Log framing and sources. See AI search visibility tracking.

Build review profiles that reflect today

Ask happy customers for detailed reviews on the platforms your buyers use, at the moment they're getting value. A thin profile with a few old complaints is easy for AI to summarize badly.

Respond in public

Reply to reviews and criticism. Acknowledge what was fair and say what changed. Responses become part of the record that assistants read.

Fix the facts at the source

Update listings, partner pages and directories. Ask publishers of outdated comparisons to refresh them, and offer current information to make it easy.

Create counter-evidence

If the caveat is "hard to implement," publish implementation timelines, onboarding guides and customer stories that show otherwise. Make them specific and citable.

Earn fresh coverage

Podcasts, contributed articles, original data and customer stories give the web, and the models, current, accurate material. See brand mentions in AI answers.

What not to do

Don't fake it. In 2024, the US Federal Trade Commission finalized a rule banning fake reviews and testimonials, including reviews from people who don't exist or never used the product, and buying positive or negative reviews. Astroturfed forum posts and undisclosed paid placements carry similar risks under platform rules.

Beyond the legal exposure, it rarely works for long. When fake reviews or planted threads are discovered, the discovery becomes the story, and AI assistants are very good at surfacing that kind of story. Don't try to bury criticism without fixing its cause either. If the complaint is real, the fix is product or service work, then telling people it changed. Brand narrative strategy covers how to reframe perception honestly.

How to measure ORM in the AI era

  • Sentiment and caveats in AI answers across a fixed prompt set.

  • Review volume, recency and rating on the platforms that matter.

  • Share of answers that name you, from share of model.

  • Share of voice across channels, from share of voice in AI search.

  • Ledger progress: how many top sources are fixed, updated or answered.

  • Branded search, as a downstream signal of trust.

Report quarterly. Reputation moves slowly, and answers based on a model's training data lag the web, while answers based on live search can move within weeks.

ORM in the Engine Optimization Matrix™

ORM lives in the Authority column of the Engine Optimization Matrix™, especially the GEO and LLMO rows: cross-platform entity consistency and mention density on high-trust domains. It shows up in the Citation column as how, not just whether, AI names you.

Stop guessing which engine to fix first. Mastering AI Visibility puts AI SEO, AEO, GEO and LLMO in one Demand Doctrine™ edition, built on the Engine Optimization Matrix™. Out November 18.

Frequently asked questions

What is online reputation management?

Online reputation management is the practice of monitoring and improving how a brand is perceived online, across search, reviews, social, forums and AI answers.

How does AI affect online reputation?

AI assistants compress many sources into one verdict, repeat it to every buyer who asks and deliver it in private conversations you can't see.

What is a Source Influence Ledger?

A spreadsheet that links what AI says about your brand to the sources it cites, how often each appears, whether it's accurate and what action you can take.

Which sites matter most for B2B reputation in AI?

Review platforms like G2 and Capterra, Reddit and communities, comparison articles, trade press, competitor comparison pages and your own website.

How do I fix a bad AI description of my brand?

Trace the framing to its sources, update or request corrections, respond publicly, create counter-evidence and earn fresh reviews and coverage.

Are fake reviews illegal?

In the US, the FTC finalized a rule in 2024 banning fake reviews and testimonials, including buying reviews and reviews from people who never used the product.
